About Quadient
Quadient is a French technology company, a leader in customer communication management technologies for businesses, and a major operator of open parcel locker networks worldwide.
With a presence in 27 countries and 4,900 employees, Quadient helps hundreds of thousands of businesses daily to build lasting relationships with their customers and deliver exceptional customer experiences in a world where interactions must be increasingly connected, personal, and mobile.
Context: a company in the midst of a transformation process
In 2019, Quadient launched a vast international transformation plan by merging its three original business entities across five major geographical areas. Under the new CIO’s leadership, the IT teams from various subsidiaries worldwide were consolidated into a single IT Services Department.
This department includes 300 IT employees, 60 contacts in 14 business entities, 500 applications, and over 200 project requests to handle each year.
The new PMO team faced several challenges:
- Lack of visibility on new project requests and the portfolio.
- Multiple project request collection processes with varying maturity levels.
- Unsatisfactory quality of collected information for resource allocation decisions.
- Time lost manually collecting and consolidating information needed for decision-making.
The decision to adopt a PPM (Project Portfolio Management) solution was made in 2019.
Why Triskell?
The PMO team issued a call for tenders to find a PPM software that could meet all the management needs of the IT department’s activities. They chose Triskell Software’s PPM solution for five reasons:
- Its broad functional coverage, encompassing all request, project, portfolio, and resource management processes within a single tool.
- User-friendly and efficient dashboards accessible to all stakeholders.
- High flexibility to adapt to current and future specific processes.
- Easy administration, providing great autonomy to the PMO team.
- Competitive cost in terms of licensing and rapid implementation thanks to the MVP approach.
A progressive MVP deployment
In 2019, IT project request management was the first process integrated into Triskell, and this was done in just one month. A team of three IT department members studied the existing processes, typically managed with Excel, and then engaged with business units through workshops to define the ideal process for the new organization. The Triskell team then configured the tool in only nine days instead of the initially planned 20 days!
Today, all new IT project requests or minor and major evolution requests worldwide are submitted, evaluated, and prioritized directly in Triskell. This request management is directly integrated with Jira. Since then, the solution has continually evolved to meet the IT department’s needs and the teams’ maturity levels.
The application has become a value-creating source, simplifying decision-making during over 100 steering committees since 2020, thanks to its rich functionality covering:
- Management of project requests from around the world.
- Management of 4 thematic portfolios with integration into Jira: Security, Operations, Solutions, and Strategic Projects.
- Management of over 50 projects simultaneously by 35 project managers worldwide.
- Resource management for 260 employees across 19 countries: capacity management, timesheets, resource allocation.
Benefits of Triskell
- Time savings: Quadient has observed time savings in request collection and processing, project tracking, and resource allocation. Committee preparation is now done in just a few clicks.
- Improved IT-business relationship: Quadient has a single repository to consult all IT department activities in Triskell. Depending on their roles, all stakeholders access the information relevant to them. The relationships between the IT department and business units have improved, and the trust link has strengthened.
- Better decision-making: with time saved and reliable real-time information available in the dashboards, business owners, PMOs, and resource managers can focus on analyzing various request elements, projects, and capacity planning to make informed decisions to optimize the entire portfolio.
Thanks to Triskell, the PMO team now spends more time analyzing portfolio information, thereby adding value to the project roadmap rather than collecting information from all stakeholders
